2. Information We Collect

Account information: Name, email address, and password when you create an account (venue managers, customers, and partners).

Event information: Event dates, couple names, event type, and greeting messages provided by venue managers and customers.

Audio messages: Voice recordings left by event guests via our Twilio phone numbers, including caller phone number, call duration, and timestamp.

Venue information: Venue name, address, postcode, and logo uploaded by venue managers.

Usage data: Pages visited, browser type, IP address, and device information collected automatically.

3. How We Use Your Information

We use your information to:

  • Provide and operate the audio guestbook service
  • Assign and manage Twilio phone numbers for events
  • Store and deliver audio messages to customers
  • Send transactional emails (account creation, event reminders, post-event summaries)
  • Generate text-to-speech greetings via ElevenLabs
  • Process payments and manage subscriptions
  • Respond to support requests

4. Legal Basis for Processing (UK GDPR)

Contract: Processing necessary to provide our service to venue managers and customers.

Legitimate interest: Service improvement, security monitoring, and fraud prevention.

Consent: Marketing communications (you can opt out at any time).

Legal obligation: Where required by law, such as tax and accounting records.

5. Third-Party Services

We share data with the following processors, all under appropriate data processing agreements:

  • Supabase (EU-West-1) — database and authentication
  • Twilio — phone number provisioning and call recording
  • ElevenLabs — text-to-speech greeting generation
  • Resend — transactional email delivery
  • Vercel — website hosting

6. Data Retention

Audio messages: Stored indefinitely. Customers have lifetime access to their event messages. Messages are never automatically deleted.

Account data: Retained while the account is active. Venue accounts that are deactivated retain historical event and customer data.

Phone numbers: Caller phone numbers are stored with messages. Twilio numbers are released when events are cancelled or venues are deactivated.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Request erasure (subject to our retention obligations)
  • Restrict or object to processing
  • Data portability
  • Lodge a complaint with the ICO (ico.org.uk)
